How we handle your information when you contact our team, request vehicle service or apply to work with us.

1. Who is responsible

Pneus Empire is responsible for the personal information collected for its business activities through this website, its service requests and recruitment enquiries. This policy explains our handling of that information.

Management oversees privacy requests and the people who handle your information.

2. Information we collect

Service and contact requests: the name, telephone number, email address, service or pickup address, vehicle details, requested service, symptoms, appointment preferences and messages you provide. A rim-repair request may include a photograph you choose to upload. A quick-message form collects the contact details and message entered in it.

Job applications: your contact details, the position sought, résumé and any relevant experience or message you submit. Technical information: hosting and form providers may process your IP address, browser information, request time and related logs to deliver the website and protect it from misuse.

Provide only information relevant to your request. Do not send payment-card details, government identification, passwords, medical information or other sensitive documents through these forms. Crop unrelated faces, documents and personal details from photos, and share another person’s information only when you have authority to do so.

3. Why we use information

We use the information needed to answer enquiries, assess vehicle and service needs, prepare estimates, arrange appointments or dispatch, perform authorized services and follow up on the work. Information connected with a completed service may also support invoicing, warranty requests, customer records, dispute resolution and legal obligations. Application information is used to assess and communicate with candidates.

We also use necessary technical information to operate and maintain the site, investigate delivery issues and limit spam or abuse. We do not sell your personal information. A service request or job application does not automatically subscribe you to marketing messages.

4. Your choices and consent

You choose whether to use a form. Required fields identify information needed to respond to that type of request; optional fields and optional uploads can be left blank. If necessary information is missing, we may need to contact you or may be unable to process the request. You can instead contact us by telephone or email.

We seek consent when required, including before using information for a new purpose that requires it. You may ask to withdraw consent for an optional use, subject to applicable legal or contractual restrictions. Withdrawal does not undo processing already lawfully completed and may affect a service that depends on the information. Simply browsing the site is not consent to unrelated marketing.

5. Service providers and disclosures

Website forms use Netlify Forms to receive and store submissions, including uploaded files. Relevant staff and authorized website administrators, including Normandin Systems where needed for website management, may access information to handle requests or resolve a technical issue. Hosting, email and other providers may process information needed to perform services for us. Access must be limited to the purpose of the work.

Where necessary and permitted by law, we may share relevant information with a supplier involved in your authorized service, an insurer, a professional adviser or a public authority. Some providers may process information outside Québec, including outside Canada, where privacy laws may differ. Required assessments and contractual protections must be in place for transfers governed by Québec law. Ask our privacy contact for information about providers involved in your request.

Uploaded files form part of your submission. Netlify makes file links available to authorized people handling submissions; avoid putting unnecessary personal information in uploads. See Netlify’s form-submission information for its file-handling details.

6. Website technologies and external links

The site loads fonts from Google Fonts, styles or icons from content-delivery services such as cdnjs, and some images from Unsplash. Loading these resources sends a technical request to the relevant provider, which can receive information such as your IP address and browser details. Their handling of these requests is governed by their own policies.

We store your English/French language preference in your browser’s local storage so it can be remembered between pages and visits. You can remove it by clearing site data in your browser. This preference does not contain your contact information. The site does not add advertising trackers or use an AI model to decide whether to accept a service request or job application.

Directions, social links and other external links take you to another provider when you follow them. Its privacy policy then applies. Browser controls can restrict third-party requests or storage, although doing so may affect how some site elements display.

7. Retention and protection

Information is retained only for as long as needed for its stated purpose and applicable recordkeeping requirements. Relevant factors include whether a request remains open, whether work was completed, warranty and accounting needs, recruitment needs, and a legal claim or preservation obligation. Information no longer required is to be securely deleted or, where lawful and appropriate, anonymized. Contact us about the retention of a specific record.

Management is responsible for setting access and retention practices; staff and service providers must handle information only as needed for their responsibilities. Safeguards must be appropriate to the information’s sensitivity, use, quantity and storage. No internet transmission or storage system is risk-free. If a confidentiality incident occurs, we take the steps required by applicable law, including assessment and notification where required.

8. Access, correction and complaints

You may request access to your personal information or correction of inaccurate or incomplete information. Where the law provides, you may request a copy of eligible computerized information in a structured, commonly used format, withdraw consent, or request cessation of dissemination or de-indexing. These rights are subject to legal conditions and exceptions; a deletion request does not override a lawful retention obligation.

Send a written request to our privacy contact above and describe the information concerned. We may verify your identity using only what is necessary. Access and correction requests receive a written response within 30 days as required by Québec law. If a request cannot be granted, we explain the applicable reason and available recourse.

For a privacy complaint, explain the concern and the outcome sought; management will review it and communicate its response. You may also contact the Commission d’accès à l’information du Québec, which provides information on privacy rights and recourse.

9. Policy updates

We update this page when our practices change and revise its effective date. Material changes will be identified on the site or communicated as required by law.
